Why month-end matters more than you think

A disciplined month-end close is the difference between books you glance at and books you run your business with. When every month closes cleanly and on schedule, your P&L, balance sheet, and cash flow become a reliable instrument panel — not a rear-view mirror with a three-month delay.

Here's the month-end checklist we typically work through for our bookkeeping clients.

Step 1 — Capture every transaction

  • Import and review all bank, credit card, and payment platform feeds (Stripe, PayPal, Wise, Square).
  • Record any cash or off-system transactions.
  • Attach receipts and source documents using capture tools like Dext.

Step 2 — Categorise consistently

Every transaction lands in the right account in your chart of accounts, with consistent treatment month over month. Consistency is what makes trends visible — a miscategorised expense doesn't just distort one month; it can break comparisons across the year.

Step 3 — Reconcile everything

  • Reconcile bank accounts to the statement ending balance.
  • Reconcile credit cards and separately review pending transactions.
  • Reconcile payment processors, including fees and net deposits.
  • Agree loan and payroll liability balances to supporting records.

Step 4 — Review AR and AP

We review who owes you money and follow up on overdue balances, while also reviewing what you owe vendors so nothing catches you by surprise next month. Clean AR/AP aging reports can serve as an early warning system for cash flow issues.

Step 5 — Accruals, adjustments, and close

For accrual-basis clients, we post adjusting entries — including deferred revenue, prepaid expenses, and accrued costs — so the month's performance is measured correctly. Once everything is reviewed, the period is closed so historical months don't silently change.

Step 6 — Report and review

Finally, we deliver your P&L, balance sheet, and cash flow statement on a fixed schedule, along with any relevant custom KPI dashboards. The goal is simple: you always know where your business stands without having to chase the numbers yourself.
